Job Summary

Loyear Disaster Restoration LLC is looking for a detail-oriented and organized Administrative Assistant to support daily operations. As an Administrative Assistant, you will be the first point of contact for clients, providing excellent customer service while handling administrative tasks such as scheduling, data entry, and maintaining records. The ideal candidate is a self-starter with strong multitasking abilities and a passion for contributing to a fast-paced, dynamic environment.

 

Key Responsibilities

  • Greet and assist clients, both in person and over the phone, ensuring a friendly and professional experience.
  • Answer phone calls, respond to emails, and manage communications in a timely manner.
  • Schedule appointments, meetings, and site visits for project managers, estimators, and technicians.
  • Maintain and organize company files, records, and databases, ensuring accurate and up-to-date information.
  • Process incoming and outgoing mail and handle administrative tasks such as filing, copying, and faxing.
  • Assist with project documentation, including generating reports, contracts, and proposals as needed.
  • Track and order office supplies, ensuring adequate inventory levels.
  • Support HR activities by helping with new hire paperwork, time tracking, and scheduling interviews.
  • Work closely with the accounting department to assist with invoicing, billing, and payment processing.
  • Perform data entry tasks, updating job files, and inputting project details into the company’s CRM system.
  • Assist with special projects or tasks as assigned by management.

 

Qualifications

  • High school diploma or equivalent required; Associate’s degree in business administration or related field preferred.
  • Previous experience in an administrative or clerical role, preferably in a construction, restoration, or service-based industry.
  • Excellent communication and interpersonal skills, with a strong focus on customer service.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to quickly learn new software systems.
  • Strong organizational and time-management skills, with the ability to prioritize and multitask.
  • Detail-oriented with strong problem-solving skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Familiarity with CRM systems and basic accounting principles is a plus.
  • Positive attitude, professional demeanor, and willingness to assist with a variety of tasks.
